Privacy Policy

How Ping My Teacher handles account, scheduling, student, guardian, and SMS information.

Effective September 12, 2026

1. Scope

This Privacy Policy explains how Ping My Teacher collects, uses, discloses, and protects information when schools, teachers, guardians, and other authorized users use our scheduling and communication services.

2. Information we collect

  • Account and school information, including names, email addresses, roles, permissions, and organization details.
  • Student and guardian information, including contact details, relationships, programs, lessons, and scheduling preferences.
  • Teacher, class, classroom, attendance, invoice, billing, and payroll records entered by authorized school users.
  • SMS content and metadata, including phone numbers, timestamps, message direction, delivery status, consent, and opt-out records.
  • Technical and security information needed to authenticate users, prevent abuse, troubleshoot, and operate the service.

3. How we use information

We use information to provide scheduling, class-change approvals, reminders, account administration, billing and payroll tools, customer support, security, compliance, and service improvement. We do not use student or guardian information for unrelated advertising.

4. Mobile information and SMS consent

We do not sell or share mobile phone numbers, SMS opt-in data, or SMS consent information with third parties or affiliates for marketing or promotional purposes.

We may provide mobile information to service providers that process communications only on our behalf, such as telecommunications and hosting providers. They may use it only to deliver and support the requested service and not for their own marketing.

Message frequency varies based on scheduling activity. Message and data rates may apply. Recipients may reply STOP to opt out or HELP for assistance.

5. Service providers

We may use vetted processors, including Twilio for messaging, Google Cloud for hosting, Supabase for database and authentication services, and configured AI providers to help interpret scheduling requests. We disclose only information reasonably necessary for them to perform services for us, subject to contractual and security obligations.

6. Student information

Schools control the student and guardian records they enter. The service is intended for authorized school personnel and guardians, not for children to create accounts independently. Schools are responsible for obtaining appropriate permissions and providing required notices.

7. Retention and security

We retain information only as long as reasonably necessary to provide the service, meet school instructions, preserve required business records, resolve disputes, and comply with law. We use administrative, technical, and organizational safeguards, but no system can guarantee absolute security.

8. Your choices and requests

Depending on your relationship with a participating school and applicable law, you may request access, correction, or deletion through the school or by contacting us. Some records may be retained where legally or operationally required.

9. Changes and contact

We may update this policy and will post the revised effective date here. Questions or privacy requests may be sent to admin@pingmyteacher.com.
